Step-by-step guidance for setting up and running staffma.

  1. 01

    Employee Evaluations

    The owner can view the evaluations left by customers for employees in STAFFMA.

    These evaluations are internal STAFFMA evaluations.

    The owner can see how customers rate each employee's service and what feedback they leave.

    This information is used to better understand employee results and evaluate their performance.

  2. 02

    Google Rating Option

    There are two different things that are important here:

  3. 03

    STAFFMA Internal Evaluation

    The customer evaluates the employee's service through STAFFMA.

    This evaluation participates in the STAFFMA internal evaluation and points system.

  4. 04

    Google Rating

    After completing the internal evaluation, the customer may also be offered the option to share their experience on Google.

    Leaving a Google rating is optional.

    A Google rating is not a source for awarding STAFFMA points.

  5. 05

    Setting Up the Points System

    The owner determines the points system for their restaurant.

    Points are based on STAFFMA internal evaluations.

    The owner can determine which ratings generate positive points and how many points should be awarded to the employee.

    For example:

    5 stars — positive points;

    4 stars — positive points;

    3 stars — no positive points are generated;

    2 stars — no positive points are generated;

    1 star — no positive points are generated.

    The exact number of points depends on the rules configured by the owner.

  6. 06

    Determining the Monetary Value of Points

    The owner also determines how much monetary value the accumulated points have.

    For example:

    100 points or 50 points for one positive rating, and the owner also determines how many points are equal to a specific monetary amount.

    Example 1

    100 points = €1

    Then:

    100 points = €1

    500 points = €5

    1,000 points = €10

    If the owner sets:

    100 points = €5

    Then:

    100 points = €5

    500 points = €25

    1,000 points = €50

    Or:

    100 points = €0.50

    Then:

    100 points = €0.50

    500 points = €2.50

    1,000 points = €5

    This value is used when an employee decides to convert their accumulated points into money.

  7. 07

    Converting Points into Money

    An employee can send a request to the restaurant owner to convert their accumulated points into money.

    For example:

    The owner has defined:

    100 points = €1

    The employee has:

    500 points

    Their monetary value is:

    €5

    The employee sends a request to the owner.

    The owner reviews the request and pays the employee the corresponding amount based on the monetary value of the points.

    At this stage, cash payment is available.

  8. 08

    Rewards

    STAFFMA provides two different ways to use points:

    Points → Money

    Points → Partner Discount

    These two options are independent of each other.

    The owner determines the monetary value of points for the first option.

    Partner businesses determine the conditions for discounts for the second option.

  9. 09

    Recording Tips

    Each tip received by an employee must be recorded separately.

    For example:

    $5

    Then:

    $10

    Then:

    $3

    These are three separate records.

    The owner can view the amounts recorded by the employee in the restaurant's tips section.

  10. 10

    Employee Results

    The employee can view their available results.

    These include:

    customer ratings;

    feedback;

    accumulated points;

    information related to rewards;

    tip records;

    other relevant data.

  11. 11

    QR Codes

    Each employee has a personal QR code.

    The QR code is connected to the specific employee and the restaurant where they are assigned.

    The owner can:

    create the employee's QR code;

    manage the QR code;

    assign it to the appropriate employee and restaurant.

    After scanning the QR code, the customer can:

    rate the service;

    leave feedback;

    send the rating to STAFFMA;

    optionally share their experience on Google after completing the rating.

  12. 12

    Transferring an Employee to Another Restaurant and QR Code

    If an employee moves from one restaurant to another:

    Restaurant A → Restaurant B

    The employee receives the QR code corresponding to Restaurant B.

    This ensures that ratings are associated with the restaurant and employee where the employee is currently working.

  13. 13

    Managing the Subscription

    The owner can manage:

    the current subscription package;

    available features;

    package limits;

    the subscription;

    the payment method;

    subscription cancellation;

    automatic renewal.

    The availability of certain features and limits depends on the selected package.

  14. 14

    Employee

    The employee receives an invitation from the restaurant owner and can then use STAFFMA to access:

    their own results;

    points;

    rewards;

    tips;

    partner discounts;

    personal QR code.

  15. 15

    Employee Access

    The employee can:

    log in using their account;

    view their results;

    view their points;

    view rewards;

    record tips;

    use partner discounts;

    access their personal QR code.

    The employee's account is linked to the restaurant where they are currently assigned.

    If the employee is transferred to another restaurant, their assignment is updated accordingly.

    If the employee leaves the company and the restaurant owner deactivates their account, the employee will receive a notification about the deletion of their account. The employee must remove themselves from the company voluntarily so that, in the future, if another company hires them and invites them to STAFFMA, they can accept the invitation and use their account. If they do not remove themselves from the previous company, they will not be able to do so.

  16. 16

    Viewing Employee Results

    The employee can view the available results.

    These include:

    customer ratings;

    feedback;

    accumulated points;

    information related to rewards;

    tip records;

    other relevant data.

  17. 17

    Employee Points

    For the employee, points are connected to STAFFMA internal evaluations.

    Leaving a Google rating is not a requirement for receiving points.

    For example, if the owner has set:

    100 points = $1

    and the employee has:

    500 points

    then their monetary value is:

    $5.

  18. 18

    Requesting Point Conversion into Money

    If an employee wants to convert points into money:

    they enter the appropriate points or rewards section;

    select the option to request a point conversion;

    specify the relevant request;

    send the request to the restaurant owner;

    the owner processes the request;

    if approved, the owner pays the employee the corresponding amount using the established payment method.

    For example:

    1,000 points × 100 points = €1 → €10

    In other words, if 100 points equal €1, 1,000 points equal €10.

  19. 19

    Employee Tips

    Each tip received by an employee must be recorded separately.

    For example:

    $5

    Then:

    $10

    Then:

    $3

    These are three separate records.

    The owner can view the amounts recorded by the employee in the restaurant's tips section.

  20. 20

    Partner Business Discounts

    An employee can use their accumulated points to receive a discount offered by a partner business.

    For example:

    200 points → 10% discount

    It is recommended that a partner initially use a simple offer, for example:

    200 points = 10% discount

    However, the specific offer and the number of points required are determined by the partner.

  21. 21

    How an Employee Can Receive a Partner Discount

    The process is as follows:

    The employee enters the partners / discounts section.

    Selects the desired partner business.

    Selects a specific offer.

    Checks the required number of points.

    Sends a discount request to the partner.

    Goes to the partner business location.

    Shows the request or the relevant offer.

    The partner checks the request.

    The partner confirms the request in STAFFMA.

    The employee receives the corresponding discount.

  22. 22

    Very Important

    There is no exchange of points for money or monetary settlement between the partner and the employee.

    The partner simply gives the employee the agreed discount based on the required number of points.

    For example:

    200 points → 10% discount

    This does not mean that the partner pays the employee the monetary value of 200 points.

  23. 23

    Employee Personal QR Code

    The employee has a personal QR code on their own page.

    The QR code is connected to a specific employee and the restaurant where they are assigned.

    After scanning the QR code, the customer can:

    rate the service;

    leave feedback;

    send the rating to STAFFMA;

    after completing the rating, optionally share their experience on Google.

    Leaving a Google rating is optional.

  24. 24

    Customer

    The customer does not need to create an account or log in to use STAFFMA.

  25. 25

    How Can a Customer Find a Restaurant?

    The customer can search for a restaurant in STAFFMA and view the information available to them.

    The restaurant page may display:

    restaurant information;

    customer ratings;

    feedback;

    available information about relevant employees;

    discounts and other public information.

  26. 26

    How Can a Customer Leave a Rating?

    If a customer uses the service of a specific employee at a restaurant, they can scan the employee's personal QR code.

    Then:

    The rating form will open.

    The customer rates the service from 1 to 5 stars.

    If they wish, they can write feedback.

    They submit the rating.

    The customer does not need to create an account.

  27. 27

    How Does the Rating Work?

    The customer rates the service with:

    1–5 stars.

    This is a STAFFMA internal evaluation.

    The internal evaluation is used for employee results and the points system according to the rules configured by the relevant restaurant.

  28. 28

    Google Rating

    After completing the STAFFMA internal evaluation, the customer may also be offered the option to share their experience on Google.

    This is an additional and optional feature.

    The customer can:

    leave a Google rating;

    or choose not to leave one.

    A Google rating is not a source of STAFFMA points.

  29. 29

    Why Can't a Customer Always Leave New Points?

    STAFFMA has a fair-use limitation to prevent abuse of the system.

    Currently, there is a 90-day limitation on awarding points to the relevant employee from the same device.

    This means that new points cannot be awarded to the relevant employee from the same device during this period.

  30. 30

    Partner

    A partner is a business that uses STAFFMA to offer employees special discounts based on accumulated points.

  31. 31

    How Can a Partner Register?

    Open STAFFMA.

    Select partner registration.

    Create a partner account.

    Fill in the required business information.

    Create a partner page.

  32. 32

    How Can a Partner Create a Discount?

    A partner can create its own offer and determine how many points will be required to receive it.

    For example:

    200 points → 10% discount

    This is a good starting example for a simple offer, but the specific conditions are determined by the partner.

  33. 33

    How Can a Partner Confirm a Request?

    When an employee selects a partner's offer and sends a discount request, the request will appear to the partner.

    The partner:

    sees the employee's request;

    checks the offer;

    checks the request;

    confirms the discount in STAFFMA.

    After confirmation, the employee can receive the corresponding discount.

  34. 34

    Settlement Between the Partner and the Employee

    There is no monetary settlement between the partner and the employee based on STAFFMA points.

    The partner does not pay the employee the monetary value of the points.

    The employee does not exchange points with the partner for cash.

    The partner's role is:

    To offer the employee a discount based on points.

    The conversion of points into money takes place through a completely different process:

    Employee → Request → Restaurant Owner → Cash Payment.

  35. 35

    Main STAFFMA Processes
